This Privacy Policy describes how "EMA for Outlook" ("we," "our," or "add-in") handles information when you use our Microsoft Outlook add-in. EMA for Outlook is developed to provide seamless access to EMA by ARTEC IT Solutions within Microsoft Outlook environments. You can learn more about EMA at www.artec-it.com.
We are committed to protecting your privacy and ensuring you have a positive experience when using our add-in.
EMA for Outlook does not collect, store, or process any personal information from users. The add-in is designed to function without requiring the collection of personal data.
If you choose to use the optional Modern Authentication via Microsoft 365, authentication is handled directly by Microsoft. We do not store or have access to your login credentials. For information about how Microsoft handles your authentication data, please refer to Microsoft's Privacy Statement.
EMA for Outlook does not collect telemetry or track how you use the add-in. We do not maintain logs of your interactions with the add-in, your search queries, or any other usage statistics.
Automatic search suggestions are created using on-device intelligence. This means that all processing related to search suggestions occurs locally on your device, and no data is submitted to ARTEC IT Solutions or any third parties as part of this functionality.
We use the content delivery network (CDN) services provided by BUNNYWAY d.o.o., Cesta komandanta Staneta 4A, 1215 Medvode, Slovenia. This service enables us to deliver add-in resources such as graphics, page content, and scripts more efficiently through a network of regionally distributed servers. This processing is conducted to support our legitimate interest in improving the stability and functionality of our add-in in accordance with Art. 6 para. 1 lit. f GDPR.
We have concluded a Data Processing Agreement (DPA) with BUNNYWAY d.o.o., which ensures the protection of user data and prohibits unauthorized disclosure to third parties. However, as noted above, no personal information is collected by the add-in.
Since we do not collect personal information, we do not share such information with third parties. The add-in's functionality is provided without the need to transfer your data to external services, except when you explicitly interact with the EMA system, which would be governed by separate agreements your organization may have with ARTEC IT Solutions.
We implement appropriate technical and organizational measures to protect the security of the limited information that may be processed through our add-in. However, as the add-in does not collect personal information, the risk of data breach concerning your personal information through our add-in is minimal.
As we do not collect or process personal information, there is no personal data for which you would need to exercise rights such as access, correction, or deletion. However, if you have any concerns about your privacy when using our add-in, please contact us using the information provided below.
Our add-in is not intended for use by children. Under the Children's Online Privacy Protection Act (COPPA), children under 13 in the United States, or the applicable age in other jurisdictions (typically under 16 in the European Union), should not use our add-in. We do not knowingly collect personal information from children. If you believe that a child may be using our add-in, please contact us using the appropriate regional contact information.
